The Role:

Are you an exceptional organiser, communicator, and problem solver? We are seeking an experienced Travel Coordinator to join our team and manage all aspects of travel for our business and offshore personnel. Based ideally in our Wallingford office in Oxfordshire, with options for Falmouth (Cornwall), Aberdeen (Scotland), or Portchester (Hampshire), this role requires you to be in the office three days a week, so you must live within a commutable distance of one of these locations.

In this role, you will be responsible for arranging and managing travel, including flights, accommodation, and transportation, using various technologies. You will provide exceptional customer service to our travellers, addressing any issues or concerns promptly. Liaising with internal departments and employees, you will handle travel requirements for marine, offshore, and corporate travel, working closely with travel coordinators in our offices worldwide.

Your collaboration with suppliers will ensure all company travel needs are met efficiently and cost-effectively. Adhering to company QHSSE standards, you will demonstrate awareness and compliance, advising on all travel-related aspects such as vaccinations, visas, and country requirements. You will also check and approve invoices, participate in an on-call rota beyond normal business hours to address any travel needs of employees or clients, with paid overtime accordingly, and stay updated on industry trends and best practices to continuously improve our travel services.

NB: You will be expected to do on call, one weekend in 4, Saturday and Sunday 9.00 am to 5.30 pm, from home. You will be paid extra for this.

Who We're Looking For:

  • Proven experience in travel coordination or a related field.

  • Experience in managing travel for offshore and marine staff would be a plus.

  • Knowledge of GDS booking system would be an advantage.

  • Strong communication skills.

  • Excellent organisational and time management abilities.

  • Proficiency in travel booking software and tools.

  • Ability to work under pressure and handle multiple tasks simultaneously.

  • Attention to detail and problem-solving skills.

  • Experience in managing travel for offshore and marine staff is a plus.
